Job Description:

~~The purpose of positions in this classification is to ensure for the accurate and timely filing of documents into patient billing files.

Job Responsibilities:

This listing is not to be construed as all-inclusive. Other duties may be required and assigned.
• Sorts and classifies patient billing documents according to established guidelines. Verify documents for compliance, identify potential errors, compile data into error spreadsheet, and notify appropriate staff of errors. Correct labeling errors as needed.
• Reviews medical records for completeness, assembles records in standard order, and files records in designated area according to the filing system. Maintains filing system by organizing patient records on shelves to ensure records are readily accessible.
• Files and scans records into appropriate document category on a timely basis.
• Establishes the business necessity of written requests by authorized staff for medical documentation. Ensures written request and authorization on file for release of records for external business related purposes.
• Responds to requests by authorized parties for information from files according to established policies and procedures. Locates and removes materials from files. Maintains appropriate documentation of access and materials removed from files.
• Purges files.  Pulls identified records (e.g. records on deceased, inactive, terminated, etc.) for offsite storage and/or destruction according to established guidelines.  Places materials for storage into boxes and labels accordingly. Maintains file archiving log.
• Performs periodic inspections and audits of files in order to ensure for accurate record and file placement. Generates audit reports according to guidelines.
• Performs general office support functions such as faxing, copying, data entry, and assisting with mailings such as for legal requests.
• Assists with organization of file room. 
• Assists with ordering and stocking office supplies.
• Ability to comply with HIPAA, federal, state and any HHU regulations and practice policies for the privacy and security of patient information.

Job Requirements:

~~High school diploma or equivalent with one year prior filing experience, preferably in a health care organization or any other combination of education and experience that provides equivalent knowledge, skills or abilities.  Knowledge of HIPAA practices.

~~Ability to perform routine data inquiry, data entry and typing.
