Job Description:



We’ve partnered with a Madison nonprofit to hire a Gift Processing Coordinator on a direct hire basis. This position is full time, and will pay competitively based on experience. This individual will need to be proactive, flexible, and detail-oriented. The ability to think outside the box to solve issues is essential! Additionally, prior experience in a professional office environment is required, and relevant experience is a plus. This position will include data entry, problem solving, and communicating with both internal and external clients, so it will offer plenty of variety!

  • Process gifts and pledge agreements to ensure that donor intent for the gifts and commitments are recorded accurately and gifts conform to legal and financial requirements
  • Work with a variety of banking, credit card processing and fundraising systems to capture donor information, reconcile transactions and deposit funds
  • Maintain knowledge of CASE standards and IRS guidelines regarding charitable gift handling
  • Create and update constituent records in internal database, including contact information, communication preferences, and other demographic data
  • Resolve gift-related customer service inquiries from donors, internal staff and campus partners via helpdesk, phone, and email
  • Create, edit, and produce various gift-related communications using email, Microsoft Word, and other functions
  • Develop documentation and assist in training new staff members
  • Contribute to team effectiveness through knowledge sharing and process improvements

Job Requirements:



  • High school diploma or GED required
  • Bachelor’s degree in accounting or business-related field preferred
  • Two plus years of professional office experience with demonstrable knowledge
  • Experience in fundraising or with a nonprofit ideal
  • Familiarity with Blackbaud CRM or Raiser’s Edge databases a plus
  • Excellent decision making, problem solving, and reasoning skills
  • Intermediate language and math skills
  • Moderate to advanced Microsoft Word and Excel and mail merge experience
  • Ability to learn quickly, adapt to changing circumstances, and meet distinct deadlines
  • Strong interpersonal and written and verbal communication skills
  • Must be organized, detail-oriented, and able to multitask
  • Should be able to conduct repetitive data entry and other tasks consistently
  • Ability to think critically
  • Must be able take initiative
