Job Description:

Position Summary:

The Administrative Assistant must be a detail-orientated, organized professional. This position is responsible for general administrative tasks supporting general office management as well as ad hoc projects/responsibilities as requested. The position requires a friendly attitude, flexibility, ability to perform in many areas and excellent communication skills.

Position Responsibilities and Expectations

General Office

  • General receptionist duties including answering the phone, directing guests.
  • Responsible for keeping common areas; the lobby and break room.
  • Make coffee in the morning and throughout the day; restock supplies in break room; post schedules for conference rooms.
  • Order office supplies, including refreshments, and ensure that they are stocked at all times; regularly perform cost comparisons among vendors to ensure we remain economical.
  • Run errands as needed/requested including picking up office supplies that cannot be shipped, ordering and picking up coffee, lunches, etc. as needed for meetings.
  • Prepare outgoing mail and, sort and deliver incoming mail.
  • Submit work requests to landlord for any building/suite issues.
  • Set up work areas for new staff; welcome staff on first day; order new hire supplies.

Executive Assistant

  • Manages executive’s calendars, schedules and activities using Outlook and through communication with the rest of the organization and external partners.
  • Anticipates and coordinates executives’ weekly schedules. Informs CEO of upcoming deadlines and objectives and assists in preparing for those meetings and events.

Meeting Coordination

  • Schedule meetings, set up meeting spaces including reserving space, setting up applicable technical equipment, supplying refreshments.
  • Coordinate customer visits.


  • Schedule and book travel through the online Concur travel system.

Other Miscellaneous Administrative duties

  • File internal and external documents.
  • Complete all other requested job functions, as needed.


Associate’s Degree or Equivalent Work Experience.
