Job Description:

Women’s International Pharmacy is a custom compounding pharmacy located on the east side of Madison. We have an exciting opportunity for a Pharmacy Regulatory Assistant to join our team.
We are looking for a professional who is detailed, organized and has the ability to think critically.  As a Pharmacy Regulatory Assistant, you will Coordinate compliance with pharmacy regulatory processes such as license registrations and renewals and monitor state pharmacy board activities and updates for application to the business.
  • Maintain organized and efficient system of pharmacy license applications and renewals. Maintain calendar of state pharmacy license renewal dates for WIP and Pet Health Pharmacy. Prepare license renewals on a timely basis, review for accuracy, and submit applications online or hard copy as needed; monitor submissions and follow up as needed. Maintain hard copy licenses and copies as needed for Arizona and Wisconsin offices. Ensure all supporting data for renewals and applications is current and up-to-date.
  • Track renewal dates and keep all posted licenses/certificates current for employees in the WI location. Meet with new employees to present license/certification requirements. Maintain verification of credentials for all licensed employees (WI and AZ).
  • Maintain current knowledge of state pharmacy regulations through review of state newsletters, state board of pharmacy websites and NABP website. Review and summarize issues related to compounding and licensure and alert Pharmacy Manager as needed.
  • Controlled Substance Reporting to states as required on a daily basis. Work with IT to obtain needed reports, file information, and perform corrections as required.
  • Determine business requirements for states that the company does business in. Research individual state websites, and determine what reporting is required. This can include submission of annual reports, Set up system for monitoring and tracking compliance with each state, and maintain and enhance system as needed for efficiency and effectiveness.  Track dispensing law/restrictions by state different provider-type prescriptive authority restrictions by state, and update pharmacy reference documents on a regular basis.
  • Monitor and document medication incidents. Track and trend less than satisfied complaints, near misses, and unusual events. Present this information to pharmacy management quarterly.


Job Requirements:

  • 2-4 years of experience in pharmacy, legal or, compliance with progressive responsibilities and experience reading and interpreting applicable laws.
  • Legal, compliance or related field, or equivalent work experience.
  • Must be detail oriented, a self-starter with excellent attention to detail, strong communication skills, and the ability to multi-task. 
  • Demonstrated ability to think critically.
  • Must be a team player and work well with minimal supervision.
