Do you want to be the face of a dynamic and fun company? We are currently recruiting for a Front Desk Office Coordinator in the downtown Madison area. This position operates Monday through Friday from 8:00 AM to 5:00 PM with a one-hour lunch. Ideal candidates will have prior experience in an office setting, greeting visitors and answering a very active multiline phone system. You should be flexible as tasks and priorities change frequently, and able to think proactively to anticipate needs. Ideal candidates will be outgoing, personable, and very customer service and team oriented. This company is well known for their fun, friendly and caring environment.   • Greet all guests in a welcoming and friendly manner 
  • Answer computerized, multiline phone (can be up to 80 calls per day) in a fast and friendly manner, accurately understanding the need of the caller and directing them to the right person or department 
  • Support President and C-suite level staff 
  • Schedule meetings, distribute agendas, order catering and complete set up 
  • Event planning for special meetings and seminars 
  • Assist with expense reimbursement 
  • Data entry of company specific information into multiple databases 
  • Electronic and manual filing of various documents, reports and company specific information
  • Assist with various administrative tasks or projects as needed 
  • Place and track office supply orders 
  • Handle incoming and outgoing mail and coordinate UPS and FedEx

Job Requirements:

  • High school diploma or GED required
  • Ability to keep a high level of confidentiality and think proactively
  • Experience with calendar tracking and scheduling in MS Outlook for multiple individuals 
  • Ability to prioritize multiple projects 
  • Intermediate typing and data entry skills 
  • Prior experience of at least one year in an office setting is preferred 
  • Intermediate to advanced skills in Microsoft Word and Microsoft Excel preferred
  •  General working knowledge of general office machines (e.g. fax, printers, binding machines)
  • Prior experience on a switchboard, multi-line or computerized phone system ideal
